Video Workflow

1. Determination of the Distance Education Topic

  • The topic of the distance education is determined based on stakeholder opinions, institutional and societal needs, and objectives in higher-level policy documents.

  • The potential target audience, content, format, etc., are evaluated.

  • The most appropriate type of education for the selected topic is determined (public single video, in Turkish or English, video series, certified training, etc.).

 

2. Selection of the Instructor for the Distance Education

  • A subject matter expert, preferably from AGÜ academic staff, is selected to deliver the training.

  • After obtaining the necessary approvals, the selected instructor is contacted.

  • The instructor is informed in writing about the content, format, and duration of the required video.

  • Upon request, consultancy and support are provided to the instructor.

 

3. Video Recording

  • The time and place for the video recording are scheduled.

  • For online training, announcements are made to reach the target audience effectively.

  • Preparations are made according to the instructor’s requests before recording, and technical support is provided during the session.

  • For offline training and videos, the instructor is kindly asked to provide the visuals used in their presentation after the recording.

  • A written thank-you note is sent to the instructor, along with a feedback survey link.

 

4. Video Editing

  • The UZEM intro video is added at the beginning and end of the training videos.

  • The visuals used in the instructor’s presentation are added to the video.

  • Subtitles are added using a font suitable for individuals with dyslexia.

  • Stock images may be added to the presentation if deemed appropriate.

  • Once the video editing is complete, necessary feedback and approvals are obtained, and the final version of the video is completed.

 

5. Publishing the Video

  • The video is published on the platform most suitable for the target audience (AGÜ YouTube page, Canvas, AGÜ UZEM website, etc.).

  • In addition to the video, an audio-only version and a written transcript are also published on the relevant platform.

  • A user satisfaction survey is also shared on the platform to gather feedback from viewers.

 

6. Evaluation and Feedback

  • Feedback from instructors is reviewed and reported.

  • Feedback from students is reviewed and reported.

 

7. Improvements for Future Recordings and Courses

  • Based on the feedback evaluation reports, analytics and data from the publishing platforms, and the observations of the distance education team, necessary improvements are identified for future videos and training.

  • Approved improvement actions are added to written workflows and quality processes.

  • Appropriate improvements are implemented, thus completing the PDCA (Plan-Do-Check-Act) cycle.
