General Information for Spring 2023 Examination Procedures
Dear Students,
All assessments, except take-home assignments and projects, in the undergraduate and graduate programs will be conducted online. Therefore, all of you need to be prepared to take your final assessments online.
We understand that this is not an ideal situation, as nobody is happy to be away from campus, and no student would choose to take exams online. However, please note that you are allowed to come to class dedicated to your exam (refer to UIS or the link below) to take your exam in person. If you wish to take your exam in class to avoid technical difficulties and have a suitable environment, please inform your instructor at least two days before the exam date so that the class can be prepared for you. Additionally, remember to bring your computer that meets the technical requirements for the class.
Please carefully read the following information, which will help you understand what to expect and how to perform your best.
1. Scope
All the courses offered since February 2023 may be assessed through online examinations. You can access the exam calendar via this link.
https://uis.agu.edu.tr/buis/general/coursefinalprogram.aspx
2. Technical preparation
You need to acquire the equipment and connectivity necessary to fully participate in the exams. For the online exams, you will require:
- A computer.
- Internet access for Canvas.
- Access to Safe Exam Browser
- Access to Zoom (with a camera and microphone – this can be done via telephone).
Please ensure that your Zoom account is opened using the official email of AGU, agu.edu.tr. Access to the Zoom meeting (Proctor) for the exam will not be granted if you use other Zoom accounts with different email providers.
Please note that if you join the Zoom meeting and attempt to take the examination without turning on your camera, your exam will not be graded. However, if you encounter technical difficulties causing this issue, please refer to the Technical Difficulties section below.
Furthermore, please be aware that attempting to take the examination without joining the Zoom meeting will be considered a serious disciplinary matter and will be investigated.
3. Academic Honesty
Even though you take the exams from home rather than in a proctored classroom, the rules for academic honesty remain unchanged. It is strictly prohibited to have contact with any other student or to use external resources. Please resist the temptation to utilize tools like Google, Google Translate, or Chat GPT. If you are observed looking away from your locked screen, disciplinary action may be taken, and your exam might not be graded. This would waste your time without yielding any positive outcome, and if caught, you will be subjected to disciplinary procedures.
Course instructors and proctors will monitor you through your camera. If the camera is ever turned off, you will be reported, and your work may not be graded. Additionally, attempting to access another browser or application will result in the automatic closure of the Safe Exam Browser. Your connection to the exam will be terminated, and you will not be allowed to make any further attempts to enter the exam.
4. Preparation for the day of the exam
- Be ready well in advance of the exam start time; Ensure that your computer and microphone are functioning properly.
- Keep your Canvas log-in details handy.
- Make sure you have the correct Canvas course page information
- Have the Zoom meeting code readily available.
- Have your student ID card with you and be prepared to show it to the camera promptly, without any delay.
5. In the Examination
- Enter the Zoom meeting using the Zoom details provided by the proctor/instructor.
- Use the Access Code shared with you via chat on Zoom to access the Canvas Exam Quiz.
- Listen and read all instructions carefully.
- Ensure that you are aware of the time limit for completing the exam - the exam will end immediately when the allocated time expires.
- Do not submit the exam until you have finished. Submit only once.
- Please note that the score displayed at the end of your exam may not be accurate and may not reflect your final score. Kindly disregard it.
Please note that it might take some time for you to access the Canvas Exam Page. There is no need to panic as you will have sufficient time to take the exam. If you are unable to access the page initially, kindly refresh it and make a few attempts. Eventually, you should be able to access the Exam Page. In the meantime, the proctor will be verifying the number of students and their names who have successfully accessed the Exam Page on Canvas.
6. Technical Difficulties
If you encounter any technical difficulties, such as connectivity or camera issues, please follow the steps provided below:
- Step 1: Take a screenshot of the problem for your reference.
- Step 2: Contact UZEM at +90 352 224 88 00 ext. 7314.
- Step 3: If the problem persists and prevents you from completing the exam within the given timeframe, send an email to both your course instructor and UZEM (uzem@agu.edu.tr). You MUST include the screenshot of the problem along with detailed information about the course name, code, date, and time.
- Step 4: If your case is approved, you will be required to retake the final exam as an oral exam at a time and location that will be communicated by your instructor.
